Document Retention Policy

Why This Policy Exists

When you upload a document to a company using MyLynk, you may not have chosen MyLynk yourself — you're uploading because the firm you work with asked you to. We believe the choice of how long your own document stays on our servers should be yours, not just the firm's. This policy explains how that works.

Default Retention Period

When you upload a document, you'll choose how long it stays available: 30, 60, 90, 120, or 180 days, or a full year (365 days). If you don't choose, we default to 120 days — long enough for most normal turnaround times, short enough that your documents aren't sitting on the internet indefinitely just because no one thought to remove them.

This choice applies to everything you upload together in one session. If you upload documents at different times, each batch has its own retention period, starting from the day you uploaded it.

Reminders Before a Document Expires

Fourteen days before a document is scheduled to be removed, we'll email you a reminder with a one-click option to keep it available longer, using the same list of time periods above.

That reminder will also tell you whether the firm you sent it to has already downloaded it. If they have, you may not need to renew it at all — the firm already has their own copy, and MyLynk holding onto it further is simply a convenience for you, not the only place it exists.

These reminders can't be turned off

This is a required notice about your own document, not a marketing email — it exists specifically to give you the chance to decide what happens to your document before it's removed. Because it's the only moment you get to make that choice, we don't offer an option to silence it. This is separate from any marketing communications MyLynk may send, which will always include the option to opt out.

If a Firm Needs to Keep Your Document Longer

Sometimes the firm you're working with may need to keep a document longer than you originally chose. If that happens, they cannot simply decide this on their own — you'll receive a request asking for your permission, and the document is only retained longer if you approve it. If you decline, or don't respond, the document is removed on its originally scheduled date.

Some Documents Are Handled Differently

Certain categories of documents — for example, employment records a company maintains about its own staff, or documents related to a legal matter — may be exempt from this retention schedule, since the company may have its own independent legal obligation to keep them. Any such exemption is deliberately recorded, including who made the decision and why.

What Happens When a Document Expires

When a document reaches the end of its retention period without being renewed, it's removed from view immediately and then permanently deleted from our servers after a short additional grace period. This brief delay exists purely as a safety margin in case of an accidental deletion — it is not an extension of your chosen retention period.

How This Relates to Our Terms of Service

This policy governs how long a document lives on our servers while an account is active and in normal use. Separately, our Terms of Service describe what happens to data if a firm's account itself is closed or terminated.

Changes to This Policy

MyLynk may update this policy from time to time. Material changes will be reflected by an updated "Last updated" date above.
